Risk lifecycle
Document inherent and residual risk, scoring scales, appetite, treatment plans, approvals and review dates. Ask the vendor to change a control assessment and show how the residual exposure and management report change.
For risk, compliance, internal audit and cybersecurity teams
A useful GRC demonstration should connect a real risk to its controls, evidence, accountable owner and management report. Use this checklist to turn a broad software comparison into a practical evaluation.
Start with one business unit and one real workflow. Prepare a sample risk, a policy, a control, an evidence item and an overdue action using anonymised information. Ask each shortlisted vendor to demonstrate the same scenario.
Document inherent and residual risk, scoring scales, appetite, treatment plans, approvals and review dates. Ask the vendor to change a control assessment and show how the residual exposure and management report change.
List the frameworks applicable to your organisation, such as NCA ECC where relevant. Ask how one control maps to several requirements, how framework versions are maintained and who approves mappings. A software mapping is not evidence that your organisation is compliant.
Upload sample evidence, assign a reviewer and reject an incomplete submission. Check version history, review comments, reminders, access permissions and export of the audit trail. Agree who owns the evidence after contract termination.
Test onboarding a supplier, issuing a questionnaire, recording criticality, assigning remediation and reviewing it again. Confirm how subcontractors, expiry dates and overdue actions are handled.
Trace an approved policy to a control, an issue and a remediation owner. Include business continuity and incident hand-offs if these are in scope. Separate included modules from optional licences and implementation work.
Choose a small set of indicators with named owners, reliable source data and escalation thresholds. Ask to drill down from an executive dashboard to the evidence behind a number and export a report for an audit committee.
Demonstrate Arabic and English workflows, right-to-left layouts, search and exported reports using your sample terminology. Verify role separation, SSO/MFA options, access reviews and the permissions of administrators.
Compare on-premises, cloud, hybrid and SaaS against your actual constraints. Obtain written confirmation of availability, hosting location, support access, connectors, backup/restore responsibilities, upgrade windows and data export. Confirm any offline or air-gapped requirement explicitly.
Ask for a written fit-gap summary covering demonstrated capabilities, configuration, integrations, exclusions, recurring fees and the acceptance criteria for your pilot. Score evidence shown, not promises in a feature list.
